Improving Productivity in Urgent Care Practice

The Practice

An urgent care facility situated at Maryland, provides a host of urgent care services ranging from lab service, minor surgical care and travel medicine to acute illness, sports injuries and trauma.

Scope and Objectives

Doctors Express is managed by a team of 3 doctors with an average of about 700 claims to be processed every month. Advanced MD is the Practice Management Software used for their medical billing function.

The scope of the project involved medical billing and AR follow-up with specific goals with respect to:

  • Ensure that the filing of claim on payer is completed within 2 business days
  • Improve collection
  • Ensure accuracy of filing to minimize rejection of claims
  • Provide status and prediction reports to the owners on claims and collection

Lister Approach

The following measures were taken to improve collection and productivity:

  • A dedicated team led by an account manager was deployed to handle the account
  • The team consisted of full time employees for medical billing, medical coding and an AR expert
  • Evolved a medical billing and an AR process to make sure that the filing of claim was done within two business days – in fact, it is being done within one business day on most days!
  • Follow-up on denied claims
  • Address issues with insurance company and get the claims resolved for payment
  • Maintain knowledge base of issues and solutions to reduce future rejections

We started by analyzing the existing accounts receivable and worked towards identifying those areas that were most challenging.

Backed with a strong background in medical billing & medical coding services in more than 15 specialties and most importantly urgent care we are also familiar with the commonly used medical billing codes including DX Codes, CPT codes, ICD-9 and HCPS level II codes.

Our experience in over 10 Practice Management Software gave us an added leverage to start processing the claims right away with minimal staff training.

Within a span of 6 months we were able to deliver the following results:

  • Bring down the average AR days from 34 to 23 days
  • Increase the collection percentage from 53% to 61%!
